What to prepare before your AI receptionist goes live
A useful assistant needs approved rules and tested connections. This guide describes the setup decisions for Anytime Assist AI; it is not a guarantee that every integration is already active for your account.
1. Define what it may say
Provide your business name, services, service area, approved fees and answers. Identify questions that require a person. Avoid having the assistant guess prices, policies or availability.
2. Decide what happens when it cannot help
Choose the human handoff destination and the fallback if nobody answers. Urgent requests need your approved escalation rules. The assistant should acknowledge failed transfers and must not claim that a technician was dispatched when no dispatch succeeded.
3. Connect the right calendar
Confirm the calendar belongs to the business. Set working hours, time zone, closed dates and buffers. Test a booking, change and cancellation. A saved appointment and a synchronized external event are separate outcomes.
4. Review communications
Approve AI identity and recording disclosures before activation. Collect appropriate consent for messaging and honor opt-outs. An email accepted by a provider is not yet confirmed delivered; review delivery history before retrying.
5. Test the complete workflow
- Routine inquiry and an unsupported request.
- Occupied calendar slot and a closed day.
- Successful transfer and unanswered transfer.
- Consent declined and messaging opt-out.
- Appointment saved with an unavailable outside service.
Use test records and designated recipients. Confirm individual results before describing your service as live.
