How Anytime Assist AI handles information.
This Privacy Policy describes information handled through anytimeassistai.com, its account portals, forms and connected business services. “Subscriber” means a business using the service; “Customer” means a person interacting with a Subscriber or its automated workflow.
The final legal entity name and business mailing address will be added after the Massachusetts entity is formed and before the first paid subscriber launches.
Aggregate website statistics
We count public page views and saved strategy-call requests by day, page and approximate country when supplied by our hosting network. These statistics do not store visitor names, email addresses, raw IP addresses or persistent visitor identifiers. Page-view collection respects the browser’s Do Not Track setting. Separate security rate limits help prevent abuse. These counts may include repeat visits or automated traffic.
Information we collect
We may collect names, business names, email addresses, telephone numbers, appointment requests, account credentials, customer records entered by authorized Subscribers, messages, consent records, call metadata, recordings or transcripts when enabled, estimates, invoices, payment status, integration settings and technical security logs.
Calls and AI interactions
Where recording or transcription is enabled, the caller should receive a clear AI and recording notice and be asked for affirmative consent before recording or transcription begins. The workflow should retain the consent response and offer a human or non-recorded alternative where configured. See the AI and Call Recording Notice.
How information is used
We use information to authenticate users; provide, configure and secure the service; answer and route communications; capture leads; schedule appointments; manage customer workflows; create business documents; process payment status through connected providers; send requested communications; prevent abuse; troubleshoot failures; and comply with applicable law.
Service providers
When connected, providers such as Twilio, Resend, Google Calendar, Stripe, hosting, database and storage services process information needed for their role. Each provider operates under its own terms and privacy policy. Subscribers choose which available integrations to activate.
Payments
Payment card information is entered into the connected payment provider’s secure checkout. Anytime Assist AI generally receives transaction identifiers, amount and payment status rather than complete payment-card numbers.
Subscriber and customer responsibilities
Subscribers determine the lawful purpose for their customer communications and records. Subscribers must provide required notices, obtain and retain appropriate call, email and SMS consent, honor opt-outs, restrict account access and avoid entering unnecessary sensitive information.
Account separation and security
Subscriber workspaces are separated by account. Safeguards may include authentication, role-based access, protected service credentials, encryption provided by hosting and integration partners, activity records, backups and incident procedures. No internet service can guarantee absolute security.
Massachusetts personal information
When we own or license personal information about Massachusetts residents, we intend to maintain safeguards appropriate to the business’s size, resources, stored information and identified risks. The company’s written information security program and incident process must be finalized before production subscriber data is accepted.
Retention and deletion
Records are kept during the subscription and afterward only as reasonably needed to deliver the service, maintain backups, meet tax or legal obligations, resolve disputes, enforce agreements and prevent abuse. Verified deletion requests are honored when deletion is not prohibited by law or necessary for these purposes. Backup copies may remain until safely overwritten.
Cookies and device storage
The site may use essential cookies or browser storage for authentication, security and device-local preferences. We do not state that optional advertising cookies are used unless they are later added and disclosed.
Your choices
You may request access, correction or deletion of information by contacting us. We may verify identity and authority before acting. SMS recipients may reply STOP, and recipients of marketing email may use the stated unsubscribe method. Transactional or legally required messages may still be sent.
Children
The service is intended for businesses and adults and is not directed to children under 13. Do not intentionally submit children’s information without a lawful business need and appropriate authority.
Security incidents
If information is involved in a security incident, we will investigate, take reasonable containment steps and provide legally required notices to affected parties and authorities.
Changes
Material changes will be posted with a new effective date. Subscribers may also receive notice through the account or email when appropriate.
